PRIVACY POLICY FOR NYEC WEBSITE

This Privacy Policy applies to the web site located at www.nyec.org (the "Site").The Site is owned and operated by the National Youth Employment Coalition ("NYEC").  NYEC makes available on the Site various resources and tools that require prior user registration, including assessment, data reporting and action planning tools, publications and a database of promising quality program practices (the "Services") that can be used by youth program administrators and other professionals. The PEPNet online tools in particular allow the user to assess the quality of a youth program against accepted quality standards, report and assess performance measurement data against national comparison benchmarks, identify and set improvement goals, and create action plans for achieving goals. This Privacy Policy identifies the information that NYEC collects from individuals who register and use the tools and resources provided on the Site and describes how we will use the information we have collected.

WHAT INFORMATION DO WE COLLECT?

Individual User Data:  In order to access the Services available on the Site, NYEC requires that you either register, or be affiliated with an organization that has registered for a subscription to use the Services.  Before you can use the Services, you will need to register for a User Account.  To register, we require that you provide us with certain information that can be used to personally identify you ("Individual User Data") including your first and last name, the name of your organization, your organization's full mailing address, your e-mail address and your telephone number. We also require that you provide some information about whether you have used PEPNet in the past, how you learned about PEPNet and why you have chosen to use it/what benefits you hope to gain. When purchasing a subscription to the use the Services, you will also be required to provide information regarding your method of payment (e.g. credit card number). 

As part of the registration process, you will need to select a user name and password that will allow you to use our Services and access the controlled areas of our Site. 

Do not disclose, share or allow any other party to use your user name and password.  If you become aware that your user name and/or password has been lost or stolen or is being misused, notify NYEC immediately.

Program and Organization Data: In order to set up your User Account and receive access to the Services, we require that you provide us with certain information about your program(s) and/or organization that can be used to identify and understand your organization and/or program(s). The Program and Organization Data we request includes:

  • Name of Program or Initiative
  • Mission or Purpose of Program (or Organization)
  • Year your program started
  • Number of youth participants served per year
  • Youth populations served
  • Annual program budget
  • Program Funding Sources
  • Program Components

Once registered, Users will be able to use the Services to:

  • complete a quality self assessment of your program and view the results,
  • complete a results assessment of your program and view the results,
  • create one or more improvement action plans for your program, view and edit your plan(s), and record progress made on the plan over time including actions completed and goals accomplished.

In connection with the use of these Services, NYEC will collect certain information about your program and/or organization - Quality Self Assessment Data, Results Assessment Data and Improvement Action Plan Data.

Quality Self Assessment Data: For each Self Assessment that you complete, NYEC will collect from the registered users rating responses (on a scale of 0 to 10) on quality standards and the indicators of each standards. You will be able to view your own responses and NYEC will be able to identify the responses you entered with your individual user profile; however, other users from your organization including the assessment administrator will not be able to view or identify your responses. Administrators will only be able to view a cumulative report of all responses added together.

Results Assessment Data:

The Results Assessment collects information about what outcomes and progress measures a program uses, as well as goal and actual numerator and denominator figures for those outcomes and progress measures, and how those outcomes and progress measures are defined.

While some of the data collected pertains to collective outcomes achieved by a group of youth participants in your program, we do not collect any data that could be used to personally identify youth participants. NYEC does not solicit or accept any personal information from individual youth participants or any users who are under the age of 18. 

Improvement Action Plan Data: For each Improvement Action Plan that you create, NYEC will collect the following data:

  • Data describing your "areas for improvement"?
  • Your order of priority for "areas for improvement"?
  • Your hypotheses about "areas for improvement"?
  • Your improvement goals
  • Your strategies for achieving improvement goals and data to support chosen strategies
  • Evaluation criteria for your goals and strategies
  • Your action plans including action steps, persons responsible, timelines, and resources/budget
  • Data on whether you have completed action steps, strategies and goals
  • Evaluation findings

Your improvement action plan data may be viewed and/or edited by you alone or someone using your user log-in. NYEC will be able to view any plans you have created.

Feedback Data:  The Site may offer users the opportunity to request additional information, provide comments, or send us feedback. We retain all rights to any of the suggestions, recommendations or other ideas provided through our feedback form and may, in our sole discretion, use and implement any of the suggestions, recommendations or other ideas provided.

Tracking Information:  NYEC automatically tracks and collects certain anonymous information from all visitors to our Site, including (i) the pages you view on our website, (ii) the websites you visit immediately before and immediately after visiting our Site, (iii) your IP address and (iv) the operating system, browser software and internet service provider you use.  This information does not personally identify you.  We also use the standard "cookie" feature of major browsers.  A cookie is a small file placed on your computer's hard drive that allows us to learn about your visit to our Site.  Cookies help us learn which areas of our Site are useful and which areas need improvement.  We do not use cookies to collect any personally identifiable information about you.

HOW DO WE USE THE INFORMATION WE COLLECT?

The only individuals who will have access to data you enter on this website are:

  • You or anyone using your ID and password to log-in to the system as you
  • NYEC staff and consultants responsible for administration of the system and tracking its use.

NYEC staff will not disclose your individual or program data to anyone without your prior permission.

NYEC will periodically review Individual data, Program and Organizational data and data entered using the PEPNet Online Tools along with the data of all individuals identified with your program in order to determine what if any additional resources, assistance or support we can offer to assist you with any program improvement goals. NYEC may also compile your data into a set of data on all users and programs who have used the website in order to analyze and create reports on trends. In this instance, your responses and those of all individuals and programs will be anonymous in any subsequent data reports. No person will be able to identify responses with any individual user or program. We use the Feedback Data to respond to your inquiries or requests. We use the anonymous information we collect to administer our Site, improve our services, determine how the Site is being used, identify popular areas of the Site and analyze trends and usage patterns.  We may use your IP address to help diagnose problems with our server.  This anonymous information cannot be used to personally identify you or a student.

We will not disclose any of the data we collect to any third parties except as described above and in the following limited circumstances:

  • We will disclose the data we collect if required to do so by law or in the good-faith belief that disclosure is necessary (a) to obey the law or comply with legal process served on us or our affiliates; (b) to protect and defend our rights or property or the rights or property of other users of our website; or (c) to act in an emergency to protect the personal safety of users of our website or the public.
  • If we sell our company or its assets, we may transfer the data we collect to the purchaser so that the purchaser can continue to provide services to you.  The purchaser will be bound by this Privacy Policy.

HOW DO YOU CORRECT INFORMATION YOU HAVE PROVIDED US?

The Site may contain links to other websites or refer you to other resources.  We are not responsible for the privacy practices or the content of such websites or resources and you should refer to such websites and resources for information about how such sites and resources protect the information they collect.

HOW SECURE IS OUR WEBSITE?

We use security measures standard in the industry, including Secure Sockets Language encryption and firewalls, to prevent unauthorized access, safeguard confidentiality and ensure the correct use of the data you provide to us. 

UPDATES AND CHANGES TO OUR PRIVACY POLICY

We may, at any time and without notice, add to, change, update or modify this Privacy Policy, simply by posting such change, update or modification on the Sites.  Any such change, update or modification will become effective immediately upon posting on the Sites.
